Reports to: Vice President of Student Affairs (FA099)
As a key member of the Student Affairs leadership team, the Coordinator of Student Success & Retention plays a vital role in supporting Virginia Western Community College’s mission to promote student achievement and persistence. Reporting directly to the Vice President of Student Affairs, this position oversees a comprehensive portfolio that includes the management of the EAB Navigate platform, administration of the student conduct process, leadership of early alert and intervention systems, and supervision of both in-person and virtual advising services.
Key Responsibilities
Early Alert & Retention Initiatives (20%)
- Lead college-wide implementation of early alert systems to identify and support at-risk students.
- Coordinate intervention strategies in collaboration with academic and student support departments.
- Analyze student engagement and alert data to inform practices that improve persistence and completion.
- Align early alert efforts with the Strategic Enrollment Management Plan and Performance Funding Model to ensure effective student outcomes.
Advising Leadership & Staff Supervision (25%)
- Supervise program advising and oversee virtual advising operations.
- Set and communicate performance expectations consistent with institutional objectives.
- Provide ongoing feedback, coaching, and professional development to advising staff.
- Manage virtual advising tools to enhance accessibility, responsiveness, and student satisfaction.
Student Conduct Officer (25%)
- Administer the student conduct process in accordance with college policies and applicable legal standards.
- Conduct investigations, adjudicate student conduct cases, and maintain accurate, confidential records.
- Apply restorative justice practices to promote accountability and student development.
- Oversee student conduct case management software to ensure FERPA compliance.
- Review and recommend updates to conduct policies.
- Support and coordinate the Student Conduct Committee.
EAB Navigate College Administrator (25%)
- Serve as the campus administrator for EAB Navigate, ensuring proper system configuration, data accuracy, and user access.
- Provide training, guidance, and ongoing support to faculty, staff, and students using Navigate.
- Collaborate with VCCS, IT and EAB support to diagnose and resolve technical issues.
- Analyze system data to support proactive advising, student retention, and outreach strategies.
- Promote adoption and effective use of Navigate through communications, training, and resource development.
- Update advisor and staff-to-student assignments within the system.
- Launch and monitor campus-wide communication campaigns through Navigate.
- Oversee the functionality and execution of alerts, progress reports, and advising campaigns.
- Create and maintain training resources and user documentation for various user groups.
- Respond to user inquiries via email or phone in a timely and professional manner.
- Coordinate data uploads, monitor platform usage trends, and ensure the integrity of user and student data.
Strategic and Administrative Duties (5%)
- Perform additional duties as assigned by the Vice President of Student Affairs.
- Serve on committees, task forces, and institutional planning groups related to student success and retention.
