System users are the custodians and owners of data they store on the network, local drives and any other form of portable media as well as Internet-cloud storage resources. As custodians of this data, they are responsible for compliance with Commonwealth of Virginia, the Virginia Community College System and Virginia Western policies and guidelines regarding data storage practices. All Virginia Western systems, processes, logical and physical data storage locations that contain personally identifiable information are considered sensitive, raising the security requirements to the standard of compliance for systems containing sensitive data.
Data owners must know what they are storing, have legitimate reasons to store it and where it is being stored. The risk of disclosure and the implications and impact of loss of this data must be understood by the data owner. If your departmental responsibility requires storing sensitive information as defined in the section below, you as the data owner must follow the proper operating procedures to ensure it is handled correctly. Storage locations are scanned for sensitive information. If sensitive data of a personal nature is identified the data owner must promptly remove it.
Each department must work with the college ISO to report the need to store sensitive information and to document your sensitive data storage requirements as defined in the college’s Business Impact Analysis, Summary of Systems and Risk Assessment processes.
