The Virginia Western Community College Records Office is responsible for the retention and maintenance of a complex system of records for all current and former students of the college. The Records Office also provides information and services to students, faculty, staff, and the general public necessary for the support of student records and enrollment services. It serves as a general resource to students regarding curricular and academic requirements.
The general responsibilities of the office include processing transcripts, maintenance of files and records, grade reporting for the college, coordination of graduation, student address and information changes, curriculum changes, enrollment verifications, and the monitoring and release of student information.
The primary goal of the Records Office is to promote a positive image of the college’s enrollment and records functions. We are dedicated to providing quality service to all students, faculty/staff, and alumni of the college.

If you have questions regarding a change in curriculum, you can stop by the Counseling Office, request a program change and get details and ask questions concerning the new curriculum you are considering. If are certain about the program change that you want, then the form may be picked up and filled out at the Records Office in Chapman Hall, room C107. - How Do I Get My Transcript Evaluated?

Obtain Credit for CLEP, AP, Military, and Work Experience by visiting Student Services.
Enrollment Verification
Virginia Western has authorized the National Student Clearinghouse (NSC) to provide enrollment verifications. The college no longer provides verifications by phone.

Students: If you are on campus and need an immediate verification, please stop by the Records Office in Chapman Hall and we will complete a form for you. However, most requests should be processed through the NSC.

Student Personal Information
Change Your Name, Address/Phone or SSN
Changes to your name, address/phone or SSN can be made directly in the college Records Office, Chapman Hall, room C107. Please stop by and complete the Notification of Change Form, or click on the above link and fax the form to our our office (540-857-6102).
Please note that college policy requires official documentation for changes to your SSN (i.e., new SSN card) or a change of name (driver’s license, SSN card, or court papers reflecting your new name).
