{"id":56354,"date":"2026-05-27T11:57:58","date_gmt":"2026-05-27T15:57:58","guid":{"rendered":"https:\/\/www.virginiawestern.edu\/bulletin\/?p=56354"},"modified":"2026-05-27T11:58:01","modified_gmt":"2026-05-27T15:58:01","slug":"fy2026-year-end-processing-cut-off-deadlines","status":"publish","type":"post","link":"https:\/\/www.virginiawestern.edu\/bulletin\/2026\/05\/27\/fy2026-year-end-processing-cut-off-deadlines\/","title":{"rendered":"FY2026 Year-end Processing Cut-off Deadlines"},"content":{"rendered":"\n<p>As we approach FY2026 fiscal year-end, following are some important dates and helpful reminders to ensure anticipated expenditures are paid before year-end:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong><u>FY26 Year-end Processing Cutoff Deadlines:<\/u><\/strong>\n<ul class=\"wp-block-list\">\n<li><strong>Emburse travel expenses<\/strong> reimbursement requests must be submitted to SSC <strong>by Tuesday, June 9<sup>th <\/sup><\/strong>to be paid with FY2026 funds.\u00a0<\/li>\n\n\n\n<li><strong>Invoices<\/strong> must be received in the SSC email inbox (<a href=\"mailto:invoice@ssc.vccs.edu\">invoice@ssc.vccs.edu<\/a>, not with the department) no later than<strong> Friday, June 12th<\/strong> with receiving completed in eVA.\n<ul class=\"wp-block-list\">\n<li>If three-way match is not completed, the invoice cannot be paid<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>PCard Reconciliation must be completed by close of business on Tuesday, June 16<sup>th. <\/sup>\u00a0<\/strong>\n<ul class=\"wp-block-list\">\n<li>Any PCard payment expected to be for FY2026 must be purchased by 6\/15\/2026 when the cycle ends.\u00a0<\/li>\n\n\n\n<li>Any charge after 6\/15\/2026 will be considered an FY2027 expense.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>eVA integration will be suspended at 5:00 p.m. on Monday, June 22<sup>nd<\/sup><\/strong> and is projected to reopen on Wednesday, July 1<sup>st<\/sup>.\n<ul class=\"wp-block-list\">\n<li>Any last minute FY2026 requisitions must be to SSC by 3pm on June 22nd for amendments to get invoices paid.<\/li>\n\n\n\n<li><strong>No orders will be able to be submitted during this shutdown period &#8211; please plan spending needs accordingly.\u00a0\u00a0\u00a0\u00a0<\/strong><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>College AIS processing is shutdown at COB on Monday, June 22<sup>nd<\/sup><\/li>\n\n\n\n<li>Completed <strong>local funds requisitions must be received by 12 noon on Monday, June 22nd<\/strong> for a check to be cut before AIS shuts down.<\/li>\n\n\n\n<li>FY2026 deposits must be received and keyed by 12 noon on Tuesday, June 30<sup>th<\/sup><\/li>\n\n\n\n<li><strong>Funds encumbered on a purchase order at year end, but not paid, <u>do not carry forward<\/u> to the next fiscal year. <\/strong>\u00a0Payments will post against the FY2027 budget.\u00a0\u00a0<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong><u>Receiving Reminders:<\/u><\/strong>\n<ul class=\"wp-block-list\">\n<li>eVA receiving reports are <strong>required to be submitted within 3 days<\/strong> of receipt of goods and\/or services (per APSPM guidelines).\u00a0 Departments should not wait on an invoice or to be prompted to enter the eVA receiving report.\u00a0<\/li>\n\n\n\n<li>For an invoice to be paid by fiscal year end, the invoice must be received in SSC&#8217;s inbox (<a href=\"mailto:invoice@ssc.vccs.edu\">invoice@ssc.vccs.edu<\/a>) no later than COB Friday, June 12<sup>th<\/sup>, the PO# must be referenced on the invoice, and the items must be received by the college (in-hand) and received in eVA.\u00a0<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>As we approach FY2026 fiscal year-end, following are some important dates and helpful reminders to ensure anticipated expenditures are paid before year-end:<\/p>\n","protected":false},"author":99,"featured_media":0,"comment_status":"closed","ping_status":"closed","sticky":false,"template":"","format":"standard","meta":{"footnotes":""},"categories":[24],"tags":[],"class_list":["post-56354","post","type-post","status-publish","format-standard","hentry","category-campus-news"],"featured_image_src":null,"author_info":{"display_name":"jparks","author_link":"https:\/\/www.virginiawestern.edu\/bulletin\/author\/jparks\/"},"yoast_head":"<!-- This site is optimized with the Yoast SEO plugin v27.6 -
