{"id":55957,"date":"2026-02-04T10:03:07","date_gmt":"2026-02-04T15:03:07","guid":{"rendered":"https:\/\/www.virginiawestern.edu\/bulletin\/?p=55957"},"modified":"2026-02-04T10:03:10","modified_gmt":"2026-02-04T15:03:10","slug":"student-needs-assessment-eform-navigate-integration-pilot","status":"publish","type":"post","link":"https:\/\/www.virginiawestern.edu\/bulletin\/2026\/02\/04\/student-needs-assessment-eform-navigate-integration-pilot\/","title":{"rendered":"Student Needs Assessment eForm &amp; Navigate Integration Pilot"},"content":{"rendered":"\n<p>This spring, <strong>Virginia Western Community College (VWCC)<\/strong> is participating in a <strong>pilot<\/strong> integrating a <strong>Student Needs Assessment eForm with Navigate<\/strong> to strengthen how colleges identify student needs and connect students to coordinated support services.<\/p>\n\n\n\n<p>This initiative directly supports the <strong>VCCS Strategic Plan, Accelerate Opportunity 2030<\/strong>, specifically <strong>Objective 4: Goal 5: Increase usage of student wrap-around support services by 10% by 2030 <\/strong>by improving early identification, outreach, and resource connection.<\/p>\n\n\n\n<p>VWCC is <strong>one of only two institutions across VCCS<\/strong> selected to participate in this pilot, based on the <strong>strong student support structures and effective practices already in place<\/strong> on our campus.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p><strong>Overview of the Pilot<\/strong><\/p>\n\n\n\n<p>The Student Needs Assessment is an SIS-based eForm distributed to Spring 2026 enrolled students. The pilot is designed to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Proactively identify student needs<\/li>\n\n\n\n<li>Improve coordination of outreach through Navigate<\/li>\n\n\n\n<li>Strengthen connections to campus and community resources<\/li>\n\n\n\n<li>Ensure student information is managed with strict privacy and role-based access controls<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p><strong>How the Outreach Works<\/strong><\/p>\n\n\n\n<p><strong>Step 1: Promotion Email (Email #1)<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Sent automatically via Navigate to Spring 2026 enrolled students beginning <strong>January 26<\/strong><\/li>\n\n\n\n<li>Continues daily for newly enrolled students through <strong>April 30<\/strong><\/li>\n\n\n\n<li>Encourages students to complete the Student Needs Assessment eForm<\/li>\n\n\n\n<li>Includes a direct link to the eForm and personalized merge tags<\/li>\n<\/ul>\n\n\n\n<p><strong>Step 2: Resource Connection Email (Email #2)<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Triggered after a student completes the Student Needs Assessment eForm<\/li>\n\n\n\n<li>Sent daily as new submissions occur, through <strong>April 30<\/strong><\/li>\n\n\n\n<li>Connects students to:\n<ul class=\"wp-block-list\">\n<li>The <strong>Single Stop screener<\/strong><\/li>\n\n\n\n<li>The institution&#8217;s <strong>student resource webpage<\/strong><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Future phases will include additional, response-based resource connections<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p><strong>What&#8217;s Coming Next: Automated Support Connections<\/strong><\/p>\n\n\n\n<p>Future workflows will further advance Goal 4 by connecting students directly to wraparound supports based on select responses, including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Great Expectations<\/strong>: Students indicating foster care or ward-of-the-state experience may be routed to a GE coach through an automated Navigate case.<\/li>\n\n\n\n<li><strong>Food Pantry\/Basic Needs Support<\/strong>: Students indicating food insecurity may receive appointment-based outreach to connect with food pantry or basic needs services.<\/li>\n<\/ul>\n\n\n\n<p>Workflows may vary based on campus configuration and service delivery models.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p><strong>How Data Is Used in Navigate<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Survey completion generates a <strong>Survey Completion<\/strong> category on the student profile.<\/li>\n\n\n\n<li>Additional categories are created for each survey response.<\/li>\n\n\n\n<li>These categories support coordinated care, reporting, and future system-wide scaling.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p><strong>Privacy and Access Controls<\/strong><\/p>\n\n\n\n<p>Student privacy is central to this VCCS pilot:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>All responses are housed in a dedicated Navigate care unit: <strong>Student360 Services<\/strong>.<\/li>\n\n\n\n<li>Only users assigned the <strong>Student360 Services Administrator<\/strong> role (or site Super Users) can access survey data.<\/li>\n\n\n\n<li>Survey response categories are hidden from general Navigate users, including advisors and faculty, unless explicitly authorized.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p><strong>Why This Matters<\/strong><\/p>\n\n\n\n<p>This pilot reflects a <strong>system-level investment in wraparound student support<\/strong> and positions VWCC as a model for:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Proactive, data-informed outreach<\/li>\n\n\n\n<li>Responsible handling of sensitive student information<\/li>\n\n\n\n<li>Scalable practices aligned with VCCS strategic priorities<\/li>\n<\/ul>\n\n\n\n<p>Employees with Navigate permissions can monitor campaign engagement through Navigate message campaign statistics (open rates, click rates, and message volume).<\/p>\n\n\n\n<p>Thank you for your continued work
