VCCS Google Apps for Education

When students, faculty, and staff log in My VCCS to access their Gmail accounts after the Bb upgrade on May 17th-18th, you will have access to a number of new, powerful teaching and learning tools. During the scheduled outage, not only will Blackboard Learn be upgraded to Service Pack 11 (new features can be found at http://www.virginiawestern.edu/facstaff/it/index.php/distance-learning/whats-new-in-blackboard-9-1-sp11/), but Google Apps for Education will also be expanded from its current set of core apps—Gmail, Docs, Calendar, etc,-- to a broad selection new consumer apps: YouTube, Google+, Maps, Books, Picasa, etc. These new apps will provide VCCS students, faculty, and staff with access to an even more powerful suite of teaching, learning, social, and communication tools that can be used both in and outside of the classroom.

However, there are some crucial steps that all students, faculty, and staff need to take to successfully access any Google Apps, including Gmail, after the upgrade. First, once these consumer apps are enabled, everyone in the VCCS  domain must click through and agree to a new consumer Terms of Service (TOS) when they next login. Second, when setting up a profile in Google Plus (G+), a Facebook-like social networking service included in the upgrade,  it is especially important that users include a correct date of birth (or at least a date of birth that will make them 13 years old or older). If they include a date of birth indicating they are younger than 13, they will be permanently locked out of all Google services. This cannot be undone without significant effort and additional costs. Employee Open Enrollment Meetings

Open enrollment meetings to present the upcoming changes for the new plan year will be facilitated by VWCC Human Resources.  The meetings have been scheduled in the Human Resources Training Room for the following dates and times:

Wednesday, May 8th at 2:00 p.m.

Monday, May 20th at 10 a.m.

Tuesday, May 21st at 2 p.m.

Open enrollment is May 1st – May 24th for a July 1, 2013 effective date.  During open enrollment you may:

  • Do nothing if you are happy with your health care election and/or do not want a flexible spending account (FSA) or wish not to continue a FSA into the next plan year.
  • Initially enroll in a health care plan.
  • Waive coverage.
  • Add or remove eligible dependents.
  • Change your health care selection(s).
  • Enroll initially into a flexible spending account (FSA) or continue your participation in a FSA for the next plan year.

Elections can be made by either completing an enrollment form or making your changes online by using EmployeeDirect:

  • Enrollment forms may be accepted by VWCC Human Resources no earlier than May 1st and not later than 5 p.m. on May 24th.
  • Online changes in EmployeeDirect may be made no earlier than May 1st and prior to midnight on May 24th.  If you chose to utilize EmployeeDirect it is strongly encourage that you make your changes early to avoid potential software outages that would prevent you from making a change.

Summer ID hours

The Summer 2013 ID room hours will be:

May 16            10:30 AM – 12:30 PM & 2:30 – 5:30 PM

May 20-23        10:30 AM – 12:30 PM & 2:30 – 5:30 PM

June 25-27       10:30 AM – 12:30 PM & 2:30 – 5:30 PM

July 1-2             10:30 AM – 12:30 PM & 2:30 – 5:30 PM

Students need to bring a Government Issued Photo ID (i.e. Driver’s License) AND a current copy of their summer class schedule.

Students who already have a student ID can receive a Summer 2013 enrollment sticker during these hours.

Faculty/Staff that need an ID between these times can set up an appointment with Nick Owens via email at nowens@virginiawestern.edu.  Please bring your ID request form with you.
