Academic and Student Affairs Office

The Interim Vice President of Academic and Student Affairs is Dr. Elizabeth Wilmer located in Fishburn Hall, room 125. All academic divisions report to the Vice President. Admissions Office

The Admissions Office is located in Chapman Hall, room 108. Office hours are Monday through Thursday from 8:00 AM to 5:30 PM and Friday from 8:00AM to 5:00 PM Registration period office hours are Monday through Thursday from 8:00 AM to 6:30 PM and Friday 8:00 AM to 5:00 PM. Advising/Retention Services

The Coordinator of Advising/Retention Services is Dr. Gloria Lindsay.  The Advising/Retention Office is located in Chapman Hall, Room 105.  The office is open Monday through Thursday from 8:00 AM to 5:30 PM and Friday 8:00 AM to 5:00 PM  During the registration period, office hours are Monday through Thursday from 8:00 AM to 6:30 PM and Friday 8:00am to 5:00pm.  The telephone number is 857-7237.

The Bookstore is a vital part of Virginia Western and provides many services throughout the academic year. The Bookstore's mission is to support higher education by being the preeminent provider of academic and collegiate products and services to the Virginia Western Community.  The strategy behind this mission is to leverage the advantages of brick and mortar college stores with online retail services and digital delivery capabilities.  Efficiently serving the campus community and offering first-class customer service is a top priority.  The Bookstore offers a wide range of innovative and accommodating services including:

It is critical that the needs of the students and faculty are met, especially during the peak "rush" periods when classes begin. Textbook orders require weeks for processing, therefore, the book information is required from the faculty at specific times of the year. The book order information is due in the bookstore as follows:

  • Fall Semester - Book orders due by April 15th
  • Spring Semester - Book orders due by October 15th
  • Summer Semester - Book orders due by March 15th

It is important that the Bookstore and the faculty work together in providing books and educational materials for our students. Division faculty should determine which textbooks are needed for their classes and generate a book adoption or edoption requisition with the required information for each title and supply that is needed. 

Textbook quantities are determined by evaluating the historical data for each individual textbook when preparing next semester's book order. Faculty input is required on the estimated number of textbooks needed for each course. The Bookstore then considers the number of textbooks they have in stock, used book availability and last years’ enrollment of the course. This procedure is repeated for every course. The book order is then prepared and placed.

Some textbooks are unavailable when orders are placed and some will sell out. The percentage is extremely low; less than two percent. Because of the many variables that must be considered, this is almost impossible to prevent. Some factors that influence this are students adding and dropping classes, sections being added, and students obtaining materials from other students. If a faculty member becomes aware of a shortage of textbooks, they should notify the Bookstore immediately.

The Bookstore aggressively seeks out used textbooks, and they are usually discounted 25 percent off new prices. Before changing a textbook, ask the Bookstore to check on student price information and place orders on time to allow used books to be located.

The Bookstore's most important service is stocking and selling textbooks. Accurate and timely information from faculty will help maintain sufficient stock, avoid excessive returns and help keep operational costs as low as possible.

I-2: Textbook Policy


To minimize the cost of textbooks while maintaining the quality of education and academic freedom, and in compliance with § 23-4.3:1 of the Code of Virginia amended in 2006.


An Act to amend the Code of Virginia relating to textbook sales at public institutions of higher education passed and was effective July 1, 2005. A summary of the new guidelines follow:

The Act prohibits employees at Virginia public institutions of higher education from demanding or receiving any payment, loan, subscription, advance, deposit of money, services or anything, present or promised, as an inducement for requiring students to purchase a specific textbook required for coursework or instruction. An exception allows the employee to receive (i) sample copies, instructor's copies, or instructional material,
not to be sold; and (ii) royalties or other compensation from sales of textbooks that include such instructor's own writing or work.

The measure also requires the governing boards to implement procedures for making available to students in a central location and in a standard format on the relevant institutional website listings of textbooks required or assigned for particular courses at the institution.

Finally, institutions maintaining a bookstore supported by auxiliary services or operated by a private contractor must post the listing of such textbooks when the relevant instructor or academic department identifies the required textbooks for order and subsequent student purchase.


The following are guidelines for selection of textbooks:

  1. Textbook adoptions are made by each academic school with sufficient lead time to the Bookstore so as to confirm availability of the requested materials and, where possible, ensure maximum availability of used textbooks. (The Bookstore requires textbook list by April 15 for fall semester, October 15 for spring semester, and March 15 for the summer session).
  2. Full-time faculty are responsible for selecting textbooks for courses in their area. In disciplines where there is no full-time faculty member, the division dean will consult with the adjunct faculty.
  3. Unless otherwise approved by the academic dean, all sections of a course (ie...HIS 121) will use the same textbook.
  4. When possible, a textbook should be used for three academic years to allow for the use of used textbooks. Exceptions to this can only be made with the approval of the academic dean and in consideration of academic quality, changes in technology, changes in the field, or in a situation where the publisher changes editions and the old edition is no longer being used.
  5. The textbook including ISBN number must be listed on all Course Outlines. If no textbook is used, that must be stated in the Course Outline.
  6. The textbook selection for each course, including ISBN number, must be listed on the college website.
  7. The college works collaboratively with the bookstore in order to reduce the cost of textbooks to students. Several initiatives that are currently being employed are as follows:
    • Buyback is offered all year round. Student cost is reduced up to 25% when students are able to sell books to the store during buyback and up to 45% when students are able to purchase a used textbook for their upcoming courses. This option remains viable when faculty are able to adopt the textbook for use for longer periods and meet the established due date for adoptions.
    • Rent-a-textbook is available for many course adoptions and reduces the student cost up to 50% over the cost of a new book.
  8. When working with publishers in order to make adoptions, faculty should carefully consider the various options. The following guidance is provided in order to insure that college employees make a selection that is cost effective for the student.
    • The traditional textbook is often the choice with the lowest total student cost, because it can be purchased and sold back multiple times throughout the life of the edition.
    • Bundles consist of a textbook with ancillary materials such as CDs, DVDs, pass codes, study guides or other items. Bundles may be more cost effective for students, but only when the materials cannot be purchased separately or the purchase price of a bundle is lower than the cost of a used text and the separate purchase of the pass code and/or other components. Bundles offer the best value when the content is integrated into the course and the use of the ancillary materials is required by faculty.
    • In the case of custom published products, content can be reorganized and additional faculty-created content can be added. The price is typically lower than traditional texts, since students pay only for the content that is included and publishers can count on higher sales because of the uniqueness of the content; however, if a faculty member is not committed to using the textbook for multiple terms it may diminish a student’s ability to participate in the buyback program and can increase the price to students overall due to the inability to return any textbooks that are not purchased to the publisher by the bookstore.
    • An ebook is a digital version of the printed textbook and is usually priced at about 50% of the cost of the printed textbook. Faculty may allow the purchase of an ebook version of the text in place of a print textbook option, along with rent-a-text options.
    • Loose-leaf versions of textbooks are sold at a lower retail price than traditional texts because they are unbound paper versions of the textbook. Although the student incurs less expense at the time of purchase, they also incur the cost of a binder, and most loose-leaf textbooks cannot be sold during buyback or purchased used.

Campus Police  

The Campus Police Department is located at 3054 Colonial Avenue and housed within the College Services Building.  This building is situated at the corner of Colonial Avenue and Overland Road.  All Virginia Western Campus Police Officers are certified through the Department of Criminal Justice Services (DCJS) and sworn through the 23rd Judicial District Court located within the City of Roanoke. 

For emergency response you may dial 857-7979 or 911, for non emergency requests please dial 857-7979. In addition, there are emergency call stations available on both North and South sides of campus with a direct link to campus police. These call boxes can be identified by their bright red color and each has a blue light located on top of the call box unit. In addition to theemergency call boxes, all campus elevators are equipped with call buttons which link directly to campus police. Please speak clearly and concisely whenever contacting the police for assistance.

Hall Associates Career and Employment Assistance Center

The Career Services Coordinator is Rhonda Perdue. The Career Center provides career counseling and employment assistance and is located in the Thomas Center, G204. The office is open Monday through Friday from 8:00 a.m. to 5:00 p.m. The telephone number is 857-7298.

Cashiers Office

The Cashiers Office is located in Chapman Hall, Room 104. For assistance, contact Yolanda Williams at 857-6312 or Pamela Cunningham at 857-6315. The office is open Monday – Friday from 8:00 a.m. to 5:00 p.m. Extended office hours are posted during registration and payment periods.

Distance Learning and Weekend College

Distance Learning is administered through the office of the Vice President of Academic and Student Affairs. Ramona Coveny, Coordinator for Distance Learning and Instructional Technology, manages the distance learning program and provides faculty with support and assistance in developing web-based and web-enhanced (hybrid) courses. Her office is located in Business Science Room 314 and her telephone number is 857-6201. Dr. Carrie Halpin is the instructional technologist for the distance learning program located in Business Science Room 312 and her telephone number is 857-6636.

Office for Dual Enrollment

Office for Dual Enrollment is located in the Vice President's Office complex on the second floor of Fishburn Hall or room 125. Vacant Position is the coordinator of dual enrollment activities between area high schools and the college. The office is open Monday through Friday from 8 am to 5 pm. Educational Foundation

The Virginia Western Community College Educational Foundation, Inc. is located in Fishburn Hall, Room 214, in the Office of Institutional Advancement. The Foundation is managed by a Board of Directors and Dr. Angela M. Garcia Falconetti, Vice President of Institutional Advancement.

The Foundation is an independent, not-for-profit corporation dedicated to enhancing the community's awareness of the college; securing private and public funds for student scholarships, program and faculty development, and capital projects; and providing prudent fiscal management of monies and properties submitted to the foundation. The Foundation manages and facilitates the Community College Access Program, Foundation Scholarships, Student Emergency Funds, Book Funds for needy students, Staff and Faculty Innovation Grants, Campus Impact Awards, a variety of funds supporting different college programs, and the Virginia Western Community College Alumni Association. Facilities Management Services

Facilities Management Services (FMS) is located in the College Services Building at Colonial Ave and Overland Drive. FMS office hours are 7:30 am to 4:30 pm, Monday through Friday. Phone: 857-7341. The Director of Facilities, Planning, and Development is Kevin G. Witter. Facilities management is composed of Trades (energy management, maintenance and repair) and Grounds (grounds, mailroom, and housekeeping services). Requests for service should be submitted on the VWCC electronic work order system. Typical requests would include maintenance, repair, or housekeeping issues. Financial and Administrative Services (Formerly the Business Office)

The Vice President of Financial and Administrative Services is Cheryl Miller. The Financial and Administratinve Offices (excluding Payroll) are located on the the second floor of Fishburn Hall, Room F212. The office is open Monday from 8:00AM to 5:00PM; the telephone number is 857-6017.

Financial Aid Office

The Financial Aid & Veterans Affairs Officer is Mr. Chad Sartini. The Financial Aid Office is located in Chapman Hall, room 106. Financial aid programs available include federal and state funded grants, work-study programs, scholarships, and loans. The office is open from 8:00 a.m. to 5:30 p.m.; Monday - Thursday, and 8:00 a.m. - 5:00 p.m. on Friday. Grants Development and Special Projects

The Grants Development and Special Projects Office is located in Fishburn Hall, Room 204. Ms. Marilyn Herbert-Ashton is the Director and can be reached at 857-6372. Staff includes Jackie Rearick, Grant Specialist who can be reached at 857-6686. Office hours are 7:30 am - 5 pm.

The mission of the Grants Development and Special Projects office is to advance Virginia Western Community College's emerging initiatives that are aligned and consistent with the goals of the college.

The Grants Development and Special Projects Office; a division of Institutional Advancement, works in partnership with Virginia Western Community College administration, deans, faculty, and classified staff to secure external funding for curricular, program related and special projects.

Information & Educational Technologies

Information and Educational Technologies (IET) is located on the second floor of the Business Science Building. Office of Institutional Advancement

The Virginia Western Community College Office of Institutional Advancement is located on the second floor of Fishburn Hall in room F214. Dr. Angela M. This department includes responsibility for Grants Development and Special Projects, Marketing & Strategic Communications and the Virginia Western Educational Foundation. Institutional Advancement fosters, supports and promotes the College’s vision, mission, and goals. The department does so through promoting a positive image of the college by increasing awareness and understanding of the institution; increasing student enrollment; enhancing commitment to the Virginia Western community by alumni, friends, and other external constituencies; expanding financial resources; and strengthening the bond between our community and the College.

Office of Institutional Effectiveness

This office is responsible for planning, research, assessment, program evaluation, continuous improvement activities, and SACS compliance. International Education/International Students

Ms. Angela Hairston-Niblett, academic advisor in Advising and Retention Office provides information and assistance related to advising, International Education and F-1 student visas. Her office is located in Chapman Hall, Room 122. Office hours are Monday - Friday 8:00 a.m. to 5:00 p.m.; the telephone number is 857-6014.

Learning Technology Center/Brown Library

The Learning Technology Center is located on the ground floor of the Brown Library building. The Learning Technology Center hours are listed below. For assistance, contact the LTC Manager, Vacant Position at 857-7250.

The Knisely Learning Technology Center serves the college in several ways. It is the main campus testing center. The Center gives placement tests for new students, and test facilitators administer and monitor distance tests and make-up tests and proctor off-campus tests.

Additionally, the Knisely Center is the resource center for supplementary instructional assistance for students. Tutorial assistance, computer-assisted learning, and video-assisted learning are available for students in many subject areas. Tutors are available in the Math Center and the Writing Center for day and evening students. Rachel Rorer, the CTE Tutor Coordinator, is available to match qualified students for individual tutoring sessions in classes where they are experiencing academic difficulty. She may be reached at 857-6442. A Study Skills Specialist is available by appointment to assess learning preferences and to help with study techniques. An open computer lab provides a variety of microcomputer software and tutors who can assist with basic computer skills.

Learning Technology Center Hours

Testing: Monday - Thursday 8:00 AM –  8:00 PM, Friday 8:00 AM –  5:00 PM and Saturday 9:00 AM – 1:00 PM. Doors close in the Testing Center a half hour before the Center closes preventing students from trying to take a test in the last half hour.

Brown Library is open Monday through Thursday from 8:00 AM to 8:00 PM and Friday from 8:00 AM – 5:00 PM.  It is also open on Saturday from 9:00 AM – 1:00 PM. Lost and Found

Lost and Found Property is maintained in the office of the Virginia Western Campus Police.  For telephone inquiries please call, 857-7979 or you may visit the campus police website to make an electronic inquiry regarding lost and found property.  The address for this site is http//www.virginiawestern.edu/police/lostproperty.php.  Any and all lost and found property items should be promptly delivered to the Campus Police Office for documentation and safe keeping.  Items may be claimed and returned upon demonstration of ownership. Any items that are unclaimed after 120 days will be disposed of in accordance with the Code of Virginia (COV 23-4.2).

Office of Marketing and Communications

The Office of Marketing and Communications develops, maintains and implements media relations, marketing campaigns, community outreach, and events for Virginia Western. If you wish to promote the college or one of its departments or programs to external audiences, please contact the Office of Marketing and Communications. The office can assist in creating marketing materials such as brochures, flyers, invitations, programs, signs, and other printed projects. It can also help publicize student and faculty stories, events, courses, and other items of interest to the public.

Microcomputer Open Lab 

The computer open lab in Room M302 of the Business Science Building is available for currently-enrolled students or current faculty and staff to work individually (no group work is allowed); patrons must sign in upon entering the lab. All lab patrons are required to observe the VCCS Computer Guidelines as stated in the College Catalog as well as additional policies as posted in the lab. Software tutoring may be available, refer to the bulletin board outside the lab for more information. Printing through WEPA only, no other printers are available. The lab is open from 8:00 a.m. to 8:00 p.m. Monday through Thursday, Friday from 8 a.m. to 5 p.m., and Saturday and Sunday from 1:00 p.m. to 4:00 p.m. during the fall and spring semesters. Hours may vary during the summer semester. Questions concerning the lab should be directed to the School of Business, Engineering and Technology by phoning 540-857-7272.

A second Microcomputer Open Lab is located in Brown Library, ground floor, which is primarily designed to support Distance Learning courses and classroom instruction. The lab is open from 8:00 a.m. to 5:00 p.m. Monday through Friday. This lab supports classroom instruction and special testing. Old Dominion University Distance Learning Program

Printing Services

Printing Services is located on the second floor of the Business Science Building, in room M270. REACH/Student Support Services

The Director/Counselor of REACH/Student Support Services is Dr. Avis Quinn. The counselors are Martha Richardson, Transfer Counselor, and Hillary Holland, Learning Disabilities Counselor. The Tutor/Accommodations coordinator is Richard Robers, and Mandy Jackson is our office administrator. The REACH program is federally funded and designed for students who demonstrate academic potential, are first generation college students (neither parent graduated from a 4-year institution), meet low income guidelines, or is a student who has a disability. We provide intrusive academic advising, tutoring, transfer assistance, counseling, and mentoring. The office also assists persons with disabilities. We are located on South Campus, Student Center Room 102. Student Activities

The Student Activities office is responsible for coordinating social, cultural, educational, and recreational programs to enrich campus life. Assistance is also provided with student housing listings, student identification (ID) cards, athletics, clubs and organizations, and student insurance. The Student Activities Office is located in the Thomas Center, Rm 208 and the telephone number is 857-6326. The office is generally open Monday through Friday from 8:00 a.m. to 5:00 p.m., but may also be open at alternate times due to activities or athletic events. Student Services

Transfer Information

WFD - Franklin County Center for Advanced Learning and Enterprise

Virginia Western currently holds classroom and laboratory space at the Franklin County Workforce Development Center. Located in Rocky Mount, this facility is a collaborative effort among Virginia Western and Patrick Henry Community College, the Franklin County Public Schools and the Franklin County government. Virginia Western is offering comprehensive training and retraining programs in management, business operations and specialized worker development skills. A wide array of training options includes computer technology, employee assessment, and related worker development programs. WFD - Greenfield Education and Training Center

The center is managed, and the programs administered, by Virginia Western. The services provided through the Center focus on the training and development of the existing regional workforce, the recruitment of new business and industrial enterprises, creation of collaborative vocational curricula in concert with regional public secondary schools, and community lifelong learning; meeting and conference room rentals are available. School Deans are responsible for providing information to faculty concerning availability and use for all equipment.

Campus Police Services

The Campus Police Mission is to maintain a secure campus environment with equal protection under the law. Campus Police provide a number of services to students, faculty, and staff that include:

  • Providing police and law enforcement services for the college campus and surrounding communities.
  • Providing basic first aid, CPR and AED services.
  • Investigating all criminal activities and motor vehicle crashes.
  • Maintaining lost and found.
  • Providing traffic control and security for campus sponsored special events.
  • Enforcement of parking and traffic regulations.
  • Training for crisis and emergency response.
  • Assist as needed with non academic student conduct issues.

Campus Police are available for services during non-business hours, weekdays after 4:30 p.m. and on weekends. During these hours, contact Campus Police 857-7979 to:

  • If Facilities Management is unavailable you may report elevator, HVAC, lighting and other building systems malfunctions directly. Campus Police will relay to appropriate Facilities Management Services personnel to secure repairs.
  • Pick up or return of state pool vehicle keys.
  • Medical emergencies.
  • Faculty and staff notification regarding presence on campus after hours of normal academic operations.
  • Firearms and knives are prohibited on campus even for instructional purposes. Report weapons violations to campus police immediately when discovered.

Facilities Management Services

Facilities Management Services (FMS) is located in the College Services Building at Colonial Ave and Overland Drive. FMS office hours are 7:30 am to 4:30 pm, Monday through Friday. Phone: 857-7341. The Director of Facilities, Planning, and Development is Kevin G. Witter. Facilities management is composed of Trades (energy management, maintenance and repair) and Grounds (grounds, mailroom, and housekeeping services). Requests for service should be submitted to your Division Office for input on the VWCC electronic work order system (See below). Typical requests would include maintenance, repair, or housekeeping issues. You may visit FMS on VWConnect or the college website.

Emergency Contact

If a facility related emergency develops during normal business hours of 7:30 a.m. to 4:30 p.m. call 857-7341. After hours and weekends, contact Campus Police at 857-7979.

Work Orders and Service Requests

Contact your school office to submit an electronic work order on the "Maintenance Connection" system. Clearly state the nature of the problem, contact number, building name, room number, and best time to perform the work if related to instructional space. Submitted work orders will be received by FMS, assigned, processed and tracked to completion. Status updates can be queried by the division office. The work order system should be used for all normal maintenance, repair, lighting, HVAC, plumbing, housekeeping, paper deliveries, pest control, leaks, locks, painting, trades and grounds problems with the exception of safety and emergencies.


Requests for projects requiring construction or renovations should be submitted as part of the annual budget process. The proposals scope of work, schedule and estimated cost should be developed with FMS. Proposals must be approved by the Department Head or Division Dean for consideration of administration. Cost, availability of funds, college priorities and goals will determine whether such projects are undertaken.

Division of Responsibilities

This information is provided to assist you in determining whom to contact for services within the department that fall outside emergencies or items related to the work order system such as projects, regulatory requirements, cost analysis, etc. Briefly:

Manages facilities department, oversees staff assignments, assigns and reviews construction projects including buildings and grounds projects that are outside the normal maintenance and repair parameters. Develops initiatives including LEED. Responsible for department budget, regulatory requirements, operations, planning, estimating, scheduling, faculty assistance with proposed projects, and other administrative duties.

FMS Administrative Assistant: Judy Lienhardt, phone 857-7341, e-mail jlienhardt@virginiawestern.edu. Responsible for general customer assistance, pool vehicle keys and support to FMS operations.

Project Manager: Reginald Walker, phone 857-6456, email rwalker@virginiawestern.edu Responsible for compliance with Construction and Professional Services Manual regulations, BCOM, Virginia Uniform Statewide Building Code regulations, National Fire Protection Code, ADA and other construction project related oversight.

Building and Grounds Superintendent: Patrick Rhodes, phone 857-6482, e-mail prhodes@virginiawestern.edu. Assigns work orders and supervises FMS trades and grounds staff for routine maintenance and repair. Responsible for locksmith/keying, elevators, painting, trash removal, lawn care, custodial services, parking lot maintenance, pest control, paper deliveries, energy management and life safety systems. Faculty and staff moves requiring furniture relocation must be approved by the Division Dean and scheduled with FMS a minimum of two weeks in advance. If more than 2 or 3 staff are involved, additional notice is needed. Furniture moves require compliance with ADA, code occupancy requirements and compatibility with building systems.

Carpet and Furniture

Budgeting and procurement of department furniture is the responsibility of individual departments and must be bought on existing state contracts. FMS will assist departments in college approved specifications, color selections, and decor to ensure quality, durability, coordination with space use, and ADA/ VUSBC code compliance. Please contact FMS to schedule these services prior to ordering. Furniture should be ordered pre-wired for electrical and include delivery/installation by supplier. Expect 30 days to prepare order and 90 days from date of order to furniture delivery.

Car Pool Vehicles

Reservations of car pool vehicles should be made 24 hours in advance and are contingent upon vehicle availability. See VW Connect, State Vehicle Registration, left menu bar. No private use is permitted. Employee will be held personally liable for inappropriate use conflicting with state regulations. Vehicles may be picked up and returned to Facilities Management office during normal business hours or Campus Police at all other times. Each vehicle is provided with a Voyager fuel debit card located in the glove compartment. Follow directions and save all receipts. Please report lost or stolen credit card immediately to FMS and Voyager Client Services (800-987-6591). GPS devices are also available to sign out on request.

Additional Pool Vehicle Information

Accidents: In the event of any accident, regardless of the extent of damage, contact the Virginia State Police. State regulations require that all accidents involving state pool vehicles be reported immediately to state police. You must report the accident to state (not local) police at the scene of the accident. Do not make statement of any kind to anyone other than your employer or an enforcement officer. If anyone is injured or the vehicles are disabled Phone 1-866-219-6120 or Fax 1-804-673-9425.

Qualified Drivers: The faculty or staff member sponsoring the trip is responsible for ensuring that any student driver possesses a current valid Virginia driver's license and is trustworthy for the assignment. Faculty member or staff must be in the vehicle during operation by a student.

Out-of-State Use: Use of pool vehicles out-of-state requires permission from Fleet Management, Richmond prior to trip.

Full Vehicle Regulations: Comprehensive state vehicle regulations are applicable to all pool vehicle use and may be found at VWConnect, Facilities Management, Links, State Vehicle Regulations. The following are notable highlights:

  • Use is limited to official state business only. Family members of state employees are prohibited to ride in state-owned vehicles unless the family member’s travel is directly related to official business. Students, part-time or hourly employees, and volunteers to state service, may operate (if qualified) or ride in vehicles if on official business.
  • While driving the following is prohibited: Eating food, texting, making cell phone calls, operating blackberries, smart-phones, ipads, GPS, or MP3 players, recorders, and other electrical devices unless device is hands-free or the vehicle is parked.
  • Hitchhikers and pets are not allowed to ride in any state-owned vehicles.

Personal Items and Valuables

Personal items and valuables brought on campus buildings, parking lots or property are your responsibility. Losses are not reimbursable by the college. Report all theft to campus police immediately. For security lock offices and keep valuables locked. For your safety office doors have view windows. The glass should remain un-obscured by any blockage.

Life Safety Systems

Life safety systems include fire walls, sprinklers, fire alarms, strobes, exit signs, fire doors/closers, fire shutters, areas of rescue assistance, emergency lighting, maintaining unobstructed corridor widths, maintaining unobstructed stair towers and pathways to exits. Office doors typically swing freely without closers but doors in fire walls are required to have closers. Propping fire rated doors open defeats fire safety systems and is a violation of NFPA and VSUBC code. Fire safety depends on detection and containment. Obstructions in corridors, stairs or exit doorways also impede swift exit in an emergency. Consequences for violations range from substantial fines, to the buildings closure by the State Fire Marshal. In the event of an actual fire if these systems are compromised it may result in unnecessary loss of life. VWCC facilities are not designed to remain operational in an extended power outage or emergency systems mode.

Life Safety Building Codes

State regulations require personal space heaters, fans, toaster ovens, microwave ovens, extension cords and other devices not be used in state facilities unless “UL listed for commercial” use. Candles, oil based air fresheners, tapestries, fabrics, acoustic treatments, and other flammable materials are prohibited by National Fire Protection Agency regulations with the exception of tested and certified fabrics. These items are considered safety hazards by the State Fire Marshal, OSHA, and State Property Insurers. Use of any device generating heat also foils the mechanical system sensors from properly reading and adjusting room temperatures. Extension cords with multiple outlets can result in circuit overloads and become a tripping hazard. Each department is responsible for enforcement of the codes. When discovered you will be asked to remove these items from campus. Injuries and liabilities to the college resulting from private property are the owner’s responsibility.

Energy Management

State owned facilities must comply with Governor’s Executive Order 48 and Order 54 requires annual reductions in consumption/usage. Set points are mandated at 66 degrees Fahrenheit for heating and 78 degrees Fahrenheit for cooling. With agreement of administration the facility heating and cooling is limited after hours and on weekends to conserve energy. If you work after hours or weekends in a building not designated for use to house seminars or classes you may find systems shut down. This is done because it is not economical to run entire buildings for one seminar or class off normal business hours.

Posting Information

Bulletin boards in the corridors are for posting information. Dated information should be removed by the posting party. All postings should be neatly attached at all 4 corners. Posting information or decorations on doors, walls, painted or finished surfaces, furniture, cabinet work, plate glass walls and surfaces other than available bulletin boards is prohibited due to costly damage to surfaces. These postings will be removed. The college reserves the right to remove any posting for any reason. The Colonial Avenue pedestrian bridge postings are organized and maintained by the student activities coordinator. These areas are reserved for departments and student groups.

Faculty Office and Classroom Tack Boards

The tack boards next to faculty doors should be used only by faculty for posting items directly related to their schedule or class information. Posting information on doors, walls and finished surfaces is not allowed.

Campus Signs

Permanent indoor and outdoor signs are designed and maintained by FMS using a standardized format consistent with building code requirements, state regulations, ADA and campus décor. Room numbers and identification of buildings are part of multiple state data bases and not subject to change. Unofficial, directional signage to events, and temporary signs should comply with standards for “Posting Information”. Temporary outdoor banners shall not be attached to light poles, building roof edges, aluminum window mullions or masonry surfaces due to permanent and costly damage that occurs. Banners should be temporary and planned with FMS prior to ordering to assure installation is secure, safe, code compliant and location is approved.

Housekeeping Services

Our janitorial contractor, Facilico, provides housekeeping services throughout campus. Most services are performed during the third shift, between the hours of 10:30 PM and 6:30 AM, Monday through Friday. If you encounter problems with housekeeping services, please notify FMS between the hours of 7:00AM and 4:00PM. Contact 857-7351 to report items or submit a work order.


Keys are used to maintain campus security, prevent theft, and protect your personal safety. Keys are ordered through the division offices with approval of the Division Dean. Each key request issued is identified and assigned to an individual who is responsible for the keys safekeeping. Please keep all keys in a safe place, do not loan your keys and report lost keys immediately to both FMS and the division office. Lost keys are assessed a 50 dollar replacement fee payable to VWCC. Upon employment termination each department is responsible for collecting and returning keys to FMS for placement back into inventory. Forms for key issuance and return are available from FMS. Adjunct faculty will be reassigned keys at the start of each Fall Semester.

Campus Mail Center

For instructions or questions regarding mail including postal rates, mail-piece design or mail preparation, contact Amy Maiolo at phone 857-7368 or e-mail amaiolo@virginiawestern.edu between 8:00 a.m. and 5:00 p.m. All mail delivery and pick up occurs daily at the division office mailboxes and at mailbox in Chapman Hall according to a predetermined schedule. Outgoing mail received after 2:30 p.m. will be metered the following day. Only school related mail with a VWCC return address will be metered. Personal mail will not be metered. However, mail containing the correct postage can be dropped off for delivery to the USPS. Bulk mail and other mass mailings should be prepared and delivered to the campus mail center a minimum of 48 hours in advance of the anticipated postdate. Bulk mailings must be properly prepared by the sender according to USPS standards prior to processing by the VWCC mail service. Improperly following these procedures will result in delays.

Shipping & Receiving

The state contract package carrier is UPS. (Fed Ex is not approved and will be charged to your division.) Only packages that are official VWCC business should be “sent from” or “delivered to” campus. When shipping out packages, place items in a sturdy box or envelope and deliver to the division office. Do not use staples on your outgoing items. All packages must have a complete and legible shipping address and a VWCC return address. No special addressing labels are needed but these items MUST be addressed to a location with a physical address (UPS will NOT deliver to a P.O. Box Number). In order to receive packages, make sure companies properly address incoming items with your name, your division’s name, and your building’s correct delivery address. Each building uses a different street number so it is important to notify all companies of your correct physical address. Improperly addressed packages cannot be delivered and will be returned to the sender according to the shipping carrier’s policy.
