Changes to the Travel Estimate Worksheet

The Travel Estimate Worksheet has been updated and now includes instructions for completing the form, as well as helpful guidance to employees regarding travel reimbursements.

The new Travel Estimate Worksheet is available by clicking on Financial and Administrative Services, Travel and Travel Estimate Worksheet (Revised April 11, 2014) or by clicking on the link below:

When submitting your Travel Estimate Worksheet, please keep in mind that it must be submitted in advance to your travel. If requesting approval for lodging rates in excess of the per diem amount, you must provide justification for the overage (up to or exceeding 150%) of the rate. If the rate exceeds 150% of the per diem amount, approval from the Department of Accounts is required in advance of your travel. When you submit your Travel Estimate Worksheet, please attached the per diem calculator, along with any other documentation associated with your travel request (i.e. conference program or agenda). Once your Travel Estimate Worksheet is fully approved, it will be returned to you. Financial Services will no longer be keeping a copy.

When submitting your travel voucher reimbursement form, you will need to attach your pre-approved Travel Estimate Worksheet (original), the per diem calculator, a lodging receipt, an agenda for the conference that shows the meals provided, and any other receipts you seek reimbursement for (i.e. parking, tolls, airline baggage fees). If claiming reimbursement for personal vehicle mileage, please include documentation of the miles traveled (i.e. map quest, google maps, or other source).

IMPORTANT: Please keep in mind that all travel reimbursements must be submitted within 30 days of the date of travel. Any reimbursements submitted more than 30 days after the date of travel may not be reimbursed in accordance with CAPP Topic 20335 Travel.

Navigate Advising

Now that the Navigate Advising Team is fully staffed, please remember that returning students who are continuing in their program of study will be referred to their faculty advisor if they need academic planning assistance. Returning students who are considering a program change will be referred to the Program Advisor responsible for their prospective major. New students and non-curricular students should be referred to the Advising Center to meet with a New Student Advisor.

Please refer students needing assistance searching for available class times, processing enrollment in courses, or printing an Advisement Report to the Registration Room in Duncan 212 (Monday-Thursday 8:00-5:30pm; Friday 8:00-5:00pm). The Registration Room will be available April 11th through May 16th and June 23rd through August 27th.

Fitness Assessments

Where are you with your fitness goals? Come find out with the Exercise Science Program Students Thursday April 17th 10-11:30 a.m. in the Humanities Gym. Assess Body Fat, BMI, Cardiovascular Endurance, Muscular Strength, Muscular Endurance, and Flexibility. See where you need to focus your program. FREE to all VWCC students, faculty and staff. Contact Karen Carpenter at kcarpenter@virginiawestern.edu with questions.  Full assessment takes about 20 minutes.

Yoga in the Park

SAVE THE DATE! Thursday April 17th at 12 noon -1pm join the Exercise Science Club, DJ spinning yoga music, and instructor Karen Carpenter for Yoga in the Park. This one hour class outdoors at our beautiful Arboretum is for all fitness levels. Relieve end of the semester stress and take an hour for YOU. Open to all VWCC students, faculty, and staff.  Inclement weather plan is in the Humanities Gym.

Grades for Spring 2014

Grades for the spring 2014 term are due by 9:30 a.m. on May 6. Grade rosters for dynamic classes that have already ended may have the final grades entered now. Please remember to save your grade roster(s) in the "Approved" status and to also follow the instructions for populating the Last Date of Attendance field (http://virginiawestern.edu/facstaff/docs/LastDateofAttendanceFieldSpring2013.pdf).
